Workflow recipes

Ready-made GHL workflows: missed calls, forms, reminders, reviews, ad leads and win-back.

Updated October 2026

Each recipe uses GHL's free Webhook action (no premium fee) with the URL {{custom_values.watalkers_webhook_url}}, method POST. Create the template first (the Template library in WaTalkers has all of these) and wait for Meta to approve it.

1. Missed call: WhatsApp them back

  1. Trigger: Call Status, filtered to missed or no-answer calls.
  2. Action: Webhook. Custom Data: template = missed_call_follow_up, language = en_US, variable_1 = {{contact.first_name}}.

2. Form submitted: instant WhatsApp reply

  1. Trigger: Form Submitted (pick your form).
  2. Action: Webhook with template = follow_up_quote or lead_follow_up and the variables it needs.
  3. Optional: Assign to user, or let WaTalkers rotate new chats (Numbers > New chat assignment).

3. Appointment reminder

  1. Trigger: Customer Booked Appointment.
  2. Action: Wait until 24 hours before the appointment.
  3. Action: Webhook with template = appointment_reminder, variable_1 = {{contact.first_name}}, variable_2 = {{appointment.only_start_date}}, variable_3 = {{appointment.only_start_time}}.
  4. Replies (YES) arrive in Conversations. Add an If/Else on the Customer Replied trigger to confirm the booking automatically.

4. Review request after a visit

  1. Trigger: Appointment Status is Showed.
  2. Action: Wait 2 hours.
  3. Action: Webhook with template = review_request and your review link as variable_3.

5. Leads from Click-to-WhatsApp ads

  1. Trigger: WaTalkers: WhatsApp message from an ad (or Contact Tag added = wa-ad, which is free).
  2. Actions: create an Opportunity in your pipeline, notify the team, and reply within minutes. Ad leads go cold fast.

6. Win back quiet customers

  1. Trigger: Contact Tag added, for example inactive-90d (set by a smart list or another workflow).
  2. Action: Webhook with a marketing template such as we_miss_you. Contacts who replied STOP are skipped automatically.

7. Send one message to many contacts

No workflow needed: tag the contacts and use Broadcasts in WaTalkers. It paces sending to your Meta daily limit and shows delivered, read and replied.

Variables use GHL's own merge fields, like {{contact.first_name}}. Keep the order the same as {{1}}, {{2}} in your template.
